Here you will find the global settings to configure user interactivity with the system.

Pop-up Timeout

Specify the time-out period after which interactive popup screens return to the main display screen. The default setting is 30 seconds.

Display Book Button

Default = Yes. This option is used to show/hide the Book button when set to No users will not be able to create bookings from Screens, Qubi’s, Kiosks or Maps.

Authenticated?

Default = No. When enabled users will be prompted to authenticate before being able to create a booking
Users will need to authenticate by Access Code, Username & Password or by using an RFID card, this can be configured from the User Authentication Tab.
When authentication is used the user's name will be recorded against their booking in the utilisation reports.

Display ‘Custom’ Button

The Custom button allows bookings to be made for later the same day.

Booking Duration
Use this setting to configure the default Custom booking duration.
This is shown after pressing the Custom button, the start time will be the next available booking time and the end time will be (start-time + this-value).

Enable Title Entry

When enabled users will be prompted for a booking title before being able to create a new booking.
When disabled all bookings created via Rooms Screens, Kiosk & Maps will use the Default Booking Title which can be configured from the Display Tab.
There is also an option to make the booking title mandatory when enabled users will be prompted to add a title if the field is left blank.

Not In Use Dates

When enabled, a list of dates can be added when the resource is not in use.
Affected profiles will display as Not In Use and all actions will be unavailable.

This option is useful to restrict resources being booked during public holidays.

This can be configured via System Settings, Location-based Settings or a Per Profile basis.

Not In Use Days

When enabled, the days of the week are listed. These can be selected to enable Not In Use. Affected profiles will display as Not In Use on the selected days and all actions will be unavailable.

This can be configured via System Settings, Location-based Settings or a Per Profile basis.

Send Confirmation To Organiser

Default = No. After enabling users will be emailed a tentative calendar invite for the booking they create.

Booking Options

Use the options here to choose which quick booking buttons will be available for different aspects of the system.

The Space column determines the duration options that users are able to choose for any space type, this includes Desk, Huddle, Parking, along with any other custom space types created https://resourcexpress.atlassian.net/wiki/spaces/RSG/pages/69403029 .

The Room Screen column determines the duration options that users are able to choose from for Room Screen assigned profiles.

The Booking Manager column determines the duration options that users are able to choose from when using the Booking Manager https://resourcexpress.atlassian.net/wiki/spaces/RSG/pages/69403757 .

.Mandatory Space Usage Acceptance

This allows for a message to be displayed to all users before they are able to create a booking.
Users are required to accept the terms before they are able to continue.

This can be useful for return to work, post-covid.
Here is an example of how the message will be displayed in Maps.

Auto-Cancellation

Default = Off. Select On to auto-cancel resource reservations when a session is not started using the Check-in button within the Check-in Starts/Ends times (defined below).

Display Check-in Button

If Auto Cancellation is disabled, the Check-in button can be optionally displayed to record confirmation of session attendance for reporting purposes.
If the Check-in button is not pressed within the period indicated below, the reservation is flagged as a 'No Show' but the reservation will only be cancelled if Auto Cancellation is enabled.

Check In Action Using Mobile App

If enabled, users are provided with a Check-in button in the Mobile App.

Enabling Validate using QR Code requires users to scan a unique QR Code before a booking is checked in.

Check-in Starts/Ends

Enter the number of minutes before and after the scheduled session start time that the Check-in button is available, respectively.

Check-in Ends For All Day Bookings

Only for all-day bookings. Enter the number of minutes after the scheduled Working Day start time that the Check-in button is available for.
When Auto-Cancellation is enabled bookings will be cancelled if not checked in within this period.

Check-in Reminders

Check the box for check-in reminders to be emailed to the user who made the booking.
Users can then use the link in the email to check-in and keep the booking.
For this feature, SMTP details need to be configured in the Email Settings Tab.

Show Captcha Verification

Checking this box will require users to confirm a check-in via email by completing a Captcha verification.

‘Check-in’ Authenticated

Default = No. Options other than No require the user to authenticate upon pressing the Check-in button, confirming that they are the session organiser (Booked By user), one of the named attendees (including the organiser) or any valid user.

Update Booking Start Time

Select Yes to allow an earlier starting time due to an early Check-in be updated in your booking system records.

Select No to keep the original starting time in your booking system records despite an early Check-in.

Mandatory Space Usage Acceptance

Display Extend Button

Default = Yes. Specify whether you want to show the Extend button on the screen.

Extend Button Appears

Displays the Extend button at a pre-set time before the end of a session, enabling users to extend sessions if there is sufficient time available.

‘Extend’ Authenticated?

Default = No. Options other than No require the user to authenticate upon pressing the Extend button, confirming that they are the session organiser (Booked By user), one of the named attendees (including the organiser) or any valid user.

Display Check-out Button

Default = No. Specify whether you want to show the Check-out button on the screen.

‘Check-out’ Authenticated?

Default = No. Options other than No require the user to authenticate upon pressing the Check-out button, confirming that they are the session organiser (Booked By user), one of the named attendees (including the organiser) or any valid user.

Instant Check-out

Select Yes for checkout to occur immediately.
Select No for checkout to occur at the nearest 5 minutes.

Record Attendance Options

Record Attendance allows administrators to view/export a report of users attending a session.
